Leasing and Construction Administrator

The Company

Ingles Markets began in 1963 as a single supermarket and has since grown into a regional grocery store chain with just under 200 retail locations operating in 6 southeastern states, a 1.6-million-square foot distribution center, two truck fleets, and a milk processing plant. Ingles Markets’ headquarters and distribution center are located just 15 minutes outside of Asheville, NC in the town of Black Mountain.

The Position

The Leasing and Construction Administrator is responsible for overseeing simultaneous projects within store operations and expansion. They are tasked with managing complex situations alongside members of management and ensuring that all parties are well-versed on current expansions and maintenance happenings.

 

Key Responsibilities:

  • Process invoices for all jobs within the construction web portal.
  • Build, improve, and maintain the construction web portal database.
  • Prepare spreadsheets for tracking, budgeting, store status, shopping cart inventory, and other relevant purposes.
  • Prepare stores for remodel sales by working with contractors, store managers, district managers, and construction teams.
  • Ensure stores appear prototypical and provide a budget and time frame to management members.
  • Process Contractor AIA Pay applications and reports for applicable personnel, along with architectural and engineering invoices and reports.
  • Oversee all Pharmacy remodels and manage the installation and maintenance of Starbucks kiosks.
  • Assist with due diligence requirements when obtaining new property: surveys, title work, Phase 1, roof assessments, HVAC assessments, etc.
  • Assist with adding new lease information into the Real Estate software as needed.
  • Assist with receiving and coding monthly rental checks to prepare for the Accounts Receivable department as needed.
  • Review, understand, and interpret leases for tenant and upper management assistance.
  • Help maintain lease plans for shopping centers on the Construction portal.
  • Set up and monitor the reporting of water meter readings for tenants with submeters in shopping centers.
  • Transfer all utility accounts back to the company from vacating tenants and disconnect utilities on sites scheduled for demolition.
  • Notarize and record documents at the registrar of deeds.
  • Respond to correspondence and coordinate solutions between multiple departments and management members within stores.
  • Manage applicable portal processing and workflows.
  • Obtain permits and attend planning board meetings, city council hearings, etc.
  • Observe all company rules and policies
  • Adhere to all local, state, and federal health and civil code regulations
  • Perform all other duties and assignments.

 

The Ideal Candidate:

  • A High School Diploma or equivalent is required. A bachelor's degree in business or a related field is preferred.
  • Prior working knowledge of paralegal studies, real estate law, and/or construction knowledge is required.
  • Current Notary Public license preferred.
  • Microsoft Office 365 proficiency.
  • Strong attention to detail.
  • Strong organizational, time management, and prioritization skills.
  • Excellent written and verbal communication skills are required.
  • Strong interpersonal skills.
  • High degree of integrity and confidentiality necessary.
